This allows nominators to upload files about the candidates
- Simplified collection of consent forms
- Receive a sorted ZIP file containing all uploaded documents
- You decide: compulsory or optional upload
Book the feature “Upload consent form”
With the “Upload consent form” feature, your nominators can upload documents about the nominees or committees being elected. These may, for example, be consent forms or personal profiles.
To book this feature, log into the POLYAS Online Voting Manager and open your nomination. Now click on the “Features” tab and book the file upload. If the booking was successful, the note "Feature added to shopping cart" appears at the bottom of the feature description. You can now close the feature description.
Adjust candidate proposals
In order for nominators to be able to attach files during the nomination, you now have to adjust the candidate proposals. To do this, go back to the “Nomination” tab and click on the gear-wheel symbol next to the title of your nomination. In these settings, you can see the type of nomination you have chosen on the “Rules” tab.
For an explanation of the types of nominations and instructions for setting up a nomination, just look here.
Here you will find the additional setting “The file upload for candidates is enabled/disabled” and, for the list nomination, the setting “The file upload for lists is enabled/disabled”. You have to activate both of these in order for files to be uploaded for the respective nominations.
Here you can decide:
- The file upload should be compulsory.
- Or the upload should be an option.
► Note: Each nominator can upload files that in total may not exceed 100 MB. Formats that can be uploaded are PDF, PNG or JPEG. Also, a maximum of five files may be attached per candidate or committee.
Upload files during nomination
During the nomination phase, a button for “Import documents” appears next to for each candidate proposal for which you have enabled the file upload. If nominators click here, the upload window opens. Here you simply upload files by drag-and-drop or with the search option. After uploading, you can delete incorrectly uploaded files (trashcan symbol) or download them again (cloud symbol).
Assigning the files
Nominators who uploaded files must now assign these to the correct candidates or committees. A bracket symbol is located next to the check box or in the header of the nomination. The nominators click on the brackets and attach the appropriate file by mouse click. Once a file is assigned to a person, the bracket is colored black.
After the nomination, the files are made available to the election officers as a ZIP file. The results are sorted as follows:
- Nomination
- Committee
- User
- File(s).
