Create a customized invitation text

Simply send the invitation to the online nomination by e-mail. This costs less than sending letters, is more environmentally friendly, and it cuts the work of invitation management. Nominators receive an invitation to submit nominations at the beginning of the nomination phase.
1. Schedule the time period of the nomination phase
After you have entered the e-mail addresses into the register of nominators, you can determine the start and end time of the nomination phase.
To do this, first click on “Settings” in the tab navigation at the top and then on the link next to “Nomination period”.
Set the date and time of the nomination phase and choose your time zone.
Start: The default setting is "Immediately", so the online nomination starts straight after payment. You can also set the start of your nomination phase as a later point in time.
End: This is the point in time when the online nomination ends. After the nomination has ended, you can view the completed nominations and download them, if you wish.
2. Plan when to send the e-mail and design the invitation
You go to the invitation e-mail by clicking the “Overview” tab and then on the link entered for the Invitation.
By default, the e-mails are sent when you start your online nomination. You can also send the invitation at a later time. Do this under “Date” by specifying the day and time when the invitation should be sent. Invitations to the online nomination are only sent after you have paid for and thus finalized your nomination.
► Caution: Once you have paid for your online nomination, you are no longer able to make further changes to it.
Now write your invitation to the online nomination. The default text is fully editable and can be customized for the nominators. Make sure that you keep the information inside the {{double brackets}}, which are necessary placeholders for your nominators and are used to transmit the login data. Once you are done, click “Save”. The invitation will be sent at the time you specified under “Date”.
3. Use of placeholders
Other placeholders can be used to give your Online Nomination invitation an individual and personal touch. In the modal, first navigate to the second blue info box and click on “More info”.
A larger window will then open listing all available placeholders and explaining to you what the system automatically inserts for each placeholder.
For example: the system will automatically insert the Online Nomination title you entered for the placeholder “{{title}}”.
Many of our placeholders are related to the configuration of the register of nominators and can only be used in the invitation if the corresponding information is stored in the register.
For example: the placeholders {{salutation}} and {{lastName}} allow you to address your nominators individually. The system stores the appropriate salutation for the nominator in {{salutation}} and their last name in {{lastName}}. However, this will only work if you’ve entered both the salutation and last name in the register. In turn, the attributes “salutation” and “last name” must have been added and the related information must have been stored for all nominators.
